Call for Ultrasound Session Proposals

 

The American Institute of Ultrasound in Medicine (AIUM) invites you to submit your ultrasound session proposals for the 2025 AIUM Annual Convention, being held March 29–April 1, 2025, in Orlando, Florida.

Submission Types

Submitters will be asked to select one of the following submission types. Most sessions should be planned to be 90 minutes. If your session would benefit from more time, you may note this in your proposal. 

Session Ideas

Finish this sentence: “I would like to attend a session about…….”  

Ideas will be shared with the AIUM Community of Practice (COP) leaders to help fill in the gaps if more programming is needed. These submissions will not have a formal review/notification process.

Traditional Didactic

Didactic sessions offer a structured and formal teaching approach in which speakers play a central role in delivering content to the learners. The speaker presents the material in a lecture format, often using slides, images, or videos to support the verbal delivery. These sessions can also include an ultrasound demonstration and Q&A.

Panel

The panel format is typically used to explore issues from multiple perspectives, providing a richer understanding of the subject matter. The moderator poses a series of questions to the panelists, guiding the conversation and ensuring a balanced contribution from each panelist. The discussion is usually more informal and often structured around key themes or subtopics. We are not asking speakers to give individual presentations in this format.

Game

The gaming format is a learning session designed to engage participants, foster collaboration, and enhance information retention. Quiz-based games such as Kahoot, Jeopardy, and strategy games require learners to use critical thinking and decision-making skills to achieve objectives.

Hands-on Session

Note: This session will require more coordination, including equipment procurements, proctors, models/simulations, etc. 

Hands-on sessions provide an opportunity for attendees to develop and refine their ultrasound scanning skills through direct practice on volunteer models, actual patients with pathology, or simulation. All scanning sessions will be under guided supervision. The faculty-attendee ratio is usually 1:4. The number of proctors needed will depend on the registration numbers. AIUM suggests a minimum if 5 proctors, to submit a session.

Submitting a Session 

Log into the submission portal. Sessions must be submitted through the online portal. No email submissions will be accepted. One person should be designated to add session information on behalf of all speakers. Only the submitter can withdraw or revise the content. Please refrain from submitting multiple sessions with similar overlapping topics.

Complete the requirements. Once you begin a submission, you can save your work and return to the online system to make any necessary edits before the submission deadline. Please keep in mind that detailed information in each section will benefit the review process. Incomplete submissions will be rejected. We encourage all submitters to begin the process early. 

Review your content. Proofread your session to correct any errors before submission. Changes such as to session titles, as well as additions or deletions of presenters, are allowed up until the deadline. Changes will not be permitted after the deadline.

Look for a confirmation email. A successful submission ends with a confirmation email to the submitter. If you do not receive a confirmation, be sure to hit the Submit button on the page to officially complete and submit your session. Added speakers will be automatically copied on the confirmation email.

How to Submit the Best Proposal  

  1. Complete all elements of the application.

  2. Clearly define goals and learning objectives.

  3. Provide as much detail as possible. Highlight the importance of the session and explain the relevance. Highlight speakers' expertise. List any special technical or equipment requirements for your session.

  4. Use a compelling title and engaging and relevant keywords that will draw interest.

  5. Describe your teaching methods (eg, lectures, interactive discussions, case studies, live demonstrations). Emphasize interactivity and engagement. Explain how you will engage the audience during the session (eg, Q&A sessions, interactive polls, group activities).

  6. If applicable, describe any hands-on components of the session that will enhance learning.

Review and Acceptance 

All submissions completed by the deadline, will be shared with COP leaders and the Annual Convention Committee for review. After the review period, all notifications and communications, including acceptance or non-acceptance, will be sent by email to the submitter. The AIUM is not responsible for notification emails not received due to incorrect contact information. The submitter is responsible for informing all suggested speakers of initial acceptance. If you do not receive a notification email, contact the Education Department at learn@aium.org to confirm acceptance or non-acceptance of your submission.

AIUM will send formal invitations mid-September to those involved in the accepted sessions using the provided emails during the submission process. All presenters will be asked to confirm receipt of their notification and officially accept the invitation to present. Detailed information about speaker tasks and due dates including presentation guidelines will be provided after acceptance.

If your proposal is not accepted for the annual convention, submitters may elect to be considered for other AIUM educational programs.
